Most field service apps charge by the number of users, and every company counts users differently. That makes it hard to compare prices for your team. This free field service software cost calculator does the math for you: enter how many people need the app, and it finds the cheapest published plan from four popular options.
How to use it
- Enter how many people need the app.
- Choose month-to-month or annual billing.
- Check the box if you need QuickBooks Online sync.
Prices were verified on each company’s official pricing page on October 12, 2026, and exclude sales tax, processing fees, and add-ons.
Estimate your monthly software cost
| Software | Cheapest plan that fits | Per month | Per year |
|---|
Prices verified October 12, 2026 on each company’s official pricing page. Excludes sales tax, payment processing fees, and add-ons. Kickserv’s annual price is estimated from its advertised 20% annual discount. Always confirm current pricing on the vendor’s website.
How the calculator works
For each app, the calculator checks every published plan and picks the cheapest one that covers your whole team, including any extra-user charges:
- Jobber: Compares Core, Connect, Grow, and Plus at each team size, including adding users at $29/month each. Teams of 16+ need a quote from Jobber.
- Housecall Pro: Basic covers 1 user, Essentials covers 5, and Max covers 8 with extra users at $35/month each. Because Housecall Pro doesn’t publish extra-user pricing for Basic or Essentials, the calculator moves larger teams to the next plan up.
- Kickserv: Start covers 5 users, Run covers 10, and Scale covers 20. Kickserv advertises 20% off with annual billing, so annual prices are estimates.
- GorillaDesk: Prices are per route (schedule), and office users are free, so the cost depends on how many crews you have in the field rather than total users.
If you check “I need QuickBooks Online sync,” the calculator skips plans that don’t include it: Jobber Core, Housecall Pro Basic, and GorillaDesk Basic.
What the calculator doesn’t include
Budget for these too
- Payment processing fees. Jobber charges 2.9% + 30¢ per card payment; Housecall Pro starts at 2.59%. On $20,000 a month in card payments, that’s roughly $500–$600 a month.
- Add-ons. AI receptionists, marketing tools, and GPS tracking often cost extra on lower plans.
- Your time. The cheapest app isn’t a bargain if it doesn’t fit how you work. Use the free trials first.
The cheapest option isn't always the best value
A lower price usually means fewer features. Check that the plan includes what you’ll use every day — automatic reminders, online booking, two-way texting, or route planning.

Frequently asked questions
What’s the cheapest field service software for a small team?
It depends on your team size. For one person, Jobber Core is the cheapest published option ($29/month billed annually). For crews of up to five, Kickserv Start ($60/month) is usually the lowest-cost option. Use the calculator above to check your exact team size.
Why does GorillaDesk use routes instead of users?
GorillaDesk is built for route-based businesses like pest control and pool service. It charges for each route (schedule) you run, and office users don’t need a paid seat. That can make it cheaper for businesses with a large office team but only one or two trucks.
How often are these prices updated?
We check prices against each company’s official pricing page and show the verification date on this page. Software companies change prices often, so always confirm on the vendor’s website before you buy.
